Booking a Presentation

A Spectrum presentation is designed to stimulate reflection, discussion and action on an issue. Each year a limited number of live presentations can be booked. Most presentations consist of 3 short media productions with audience response and interaction in between. Both classroom and assembly presentations can be booked.

Spectrum’s non-profit, charitable status enables us to offer a live presentation at very affordable rates. Presentation fees include the productions, presentation equipment, and presenter (usually Spectrum’s producer/director) to show the productions and facilitate audience response.

Live presentations are usually within 3-4 hours of where Spectrum’s director lives, in Bruce Country, Ontario. Spectrum provides its own computer, video projector, sound system and screen, unless a suitable screen and sound system are already available.

Requirements

1. Spectrum is an artistic and educational resource, not an entertainment event. Assembly and community presentations are intended for a maximum of 300 people at a time. Smaller audiences are better for interaction. We recommend Grades 11 and up for an assembly presentation, Grades 9 and up for a classroom presentation.

2. A Spectrum presentation with interaction takes about 45 minutes, plus whatever time is needed for school or community input. Classroom and small group presentations can be up to 70 minutes.

3. Allow 30 minutes for setup and 15 minutes for takedown. Be sure the room is not booked for anything else during this time.

4. Arrange for at least 2 people (1 if it’s a classroom presentation) to help Spectrum unload, set up and take down the equipment.

5. Be sure the room can be darkened and the volume turned up without disturbing others.

Recommendations

1. Spectrum’s productions are most effective when there is time for audience response and interaction with the presenter.

2. You may also combine Spectrum’s productions with readings, music and drama from your own school or community, or a short talk by a local community group on what they are doing about the issue at hand.

3. Remember that “change = awareness plus action.” Following the presentation, plan some form of action for the audience to apply their raised awareness.

Fees

1. Our fee for 1 presentation (of any set of productions) is $300 plus travel for an assembly presentation, $250 plus travel if the audience is less than 150, and $200 plus travel for a classroom or small group presentation (up to 50 people). There is no fee for home showings or previews that raise awareness and support for Spectrum.

2. The fee for a 2nd presentation (of the same or a difference set of productions) is only $100, using the same setup. Additional setups are $50-100, depending on how much equipment is needed.

3. Travel costs are based as follows, from Wiarton, ON:
• Bruce, Grey counties: $25
• Huron, Perth, Wellington, Dufferin, Simcoe counties: $50
• Lambton, Middlesex, Oxford (including London), Waterloo counties (including Kitchener/Waterloo): $75
• Kent, Elgin, Norfolk, Brant, Haldimand, Wentworth, Lincoln, Halton, Peel, York, Ontario, Victoria counties and regions (including Toronto): $100
• Essex, Welland, Durham, Peterborough, Northumberland counties: $125

4. You may also book Spectrum for $500 a day (plus travel) with up to 2 setups and 4 presentations per day.

5. Fees go toward operating expenses only. Spectrum is dependent on donations and grants for all staffing, production and equipment costs. Donations to cover the cost of a presentation are tax-deductible.
